Privacy Policy

TorqBooks LLC (“TorqBooks,” “we,” “us,” or “our”) is committed to protecting your privacy. This Privacy Policy explains how we collect, use, share, and protect information about you when you use the TorqBooks platform and related services. By using TorqBooks, you agree to the collection and use of information in accordance with this policy.

1. Information We Collect

Information You Provide

When you sign up for TorqBooks, we collect your name, email address, phone number, shop name, and business address. We also collect billing information processed securely through Stripe.

Financial & Bank Data

TorqBooks connects to your business bank account through Plaid, a third-party financial data provider. We receive read-only access to your transaction history for the purposes of reconciliation and bookkeeping. We do not store your bank login credentials. All bank data is encrypted in transit and at rest.

Receipt & Invoice Data

When you photograph invoices and receipts using TorqBooks, those images and the extracted data (vendor names, amounts, part descriptions, dates) are processed through Veryfi's OCR engine and stored in your TorqBooks account for up to three years.

Usage Data

We collect information about how you interact with the TorqBooks platform, including pages visited, features used, and actions taken. This data is used to improve the service and is not sold to third parties.

2. How We Use Your Information

Service Delivery

We use your information to provide, maintain, and improve the TorqBooks platform — including receipt categorization, bank feed reconciliation, markup tracking, and daily profit notifications.

Communications

We may contact you regarding your account, billing, service updates, and support. We will not send marketing communications without your consent.

Compliance

We may use your information to comply with applicable laws, respond to legal requests, and protect the rights and safety of TorqBooks and its users.

3. Information Sharing

Third-Party Service Providers

TorqBooks shares data with the following trusted providers to deliver our service: QuickBooks Online (accounting engine, Intuit Inc.), Plaid (bank feed connectivity), Veryfi (receipt OCR processing), and Stripe (payment processing). Each provider operates under their own privacy policy and data security standards.

No Sale of Data

We do not sell, rent, or trade your personal or financial information to any third party for marketing or advertising purposes.

Legal Disclosures

We may disclose your information if required by law, subpoena, or other legal process, or if we believe in good faith that disclosure is necessary to protect the rights, property, or safety of TorqBooks, our users, or the public.

4. Data Security

Encryption

All data transmitted between your devices and TorqBooks is encrypted using industry-standard TLS. Financial data and receipt archives are encrypted at rest using AES-256 encryption on AWS infrastructure.

Access Controls

Access to your data is restricted to authorized TorqBooks personnel on a need-to-know basis. We conduct regular security reviews and maintain audit logs of all data access.

Breach Notification

In the event of a data breach that affects your personal or financial information, we will notify you within 72 hours of becoming aware of the breach, in accordance with applicable law.

5. Data Retention

Active Accounts

We retain your data for as long as your TorqBooks account is active. Receipt and financial records are stored for a minimum of three years to support your tax filing and audit needs.

Account Cancellation

If you cancel your TorqBooks subscription, we will retain your data for 90 days to allow for account reactivation or data export. After 90 days, your data will be permanently deleted from our systems, except where retention is required by law.

6. Your Rights

Access & Portability

You have the right to access, download, and export your data at any time through the TorqBooks platform. Financial records can be exported as PDF or CSV.

Correction

You may update or correct your account information at any time through the Settings section of your TorqBooks account.

Deletion

You may request deletion of your account and associated data by contacting us at the address below. Certain data may be retained as required by law or for legitimate business purposes.

7. Third-Party Services

TorqBooks integrates with the following third-party services, each governed by their own privacy policies: Intuit QuickBooks Online (intuit.com/privacy), Plaid Inc. (plaid.com/legal/privacy-notice), Veryfi Inc. (veryfi.com/privacy), and Stripe Inc. (stripe.com/privacy). We encourage you to review those policies.

8. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes via email and by posting a notice in your TorqBooks account at least 14 days before the change takes effect. Continued use of the service after the effective date constitutes acceptance of the updated policy.
